PRODUCT & WORKFLOW GUIDE
Use receivables aging to organize internal review
An aging view helps a team decide which records need a closer look. It should be read alongside payment history, account context and any holds, rather than treated as an instruction to contact someone automatically.
Move from a portfolio view to a specific record
CollectionsHQ provides aging visibility from current through 90+ days and lets the team search account balances. Use that overview to locate accounts for review, then inspect the individual timeline before deciding on the next internal step.
A balance is only as useful as its supporting records. Confirm that external receipts have been recorded and that the account reference belongs to the correct placement.
Reconcile external receipts carefully
The current release records payments received elsewhere. If a receipt was entered incorrectly, a reversal preserves the original record while documenting the correction. This gives reviewers a clearer trail than silently replacing an amount.
For example, a placed balance of $1,250 with a recorded external receipt of $250 leaves $1,000 in the illustrative product example. This is a demonstration of recordkeeping, not a processed payment.
Keep review decisions separate from automation
Assign an internal reviewer and schedule a review date when an account needs attention. Check dispute, cease-contact, attorney representation, bankruptcy and identity-review flags as part of the review.
Aging visibility does not send notices, make calls or authorize contact. CollectionsHQ’s current release does not automate outreach or legal action; your team remains responsible for evaluating what is appropriate.
